6. How We Use Personal Information

  • Running tests: creating and managing your account, verifying your identity when you log in, enrolling you in tests, and recording and scoring your answers.
  • Test integrity: verifying who is taking a proctored test, and identifying and investigating possible cheating or irregularities.
  • Recruitment support: sharing results with the Department or Hiring Employer that requested the test, preparing assessment reports, and providing departments with summary statistics about how candidates performed.
  • Accommodations: arranging accommodations you request.
  • Service and support: responding to inquiries, processing bulk purchase requests and practice test purchases, providing technical support, and sending you emails about your account and tests (see Section 14).
  • Newsletters: sending newsletters and information about our services, only if you have opted in (see Section 15).
  • Platform operation and security: protecting the Platform from spam, bots, and unauthorized access, and understanding how our information website is used so we can improve it.
  • Legal and compliance: complying with applicable laws, meeting our obligations to Departments and Hiring Employers, and establishing or defending legal claims.

We do not sell personal information.

7. Proctoring

How it works. Before a proctored test begins, your browser asks for permission to use your webcam. If you allow it, an image of you is captured from your webcam every 30 seconds until you finish the test. The images are linked to your test attempt.

How long we keep them. We delete proctoring images 6 months after the test, or sooner once the related recruitment process is complete and no review is needed. We keep images longer only while a test integrity review or dispute about that attempt is ongoing.

Your choice. You may decline webcam access. If you do, you will not be able to take a proctored test, which may affect your participation in a recruitment process that requires it.

8. Accommodation Requests

9. Who We Share Personal Information With

  • Our team: our owner, employees, and contractors who need the information to administer the Platform. Contractors are bound by written confidentiality obligations.
  • Departments and Hiring Employers: if you take a test as part of a recruitment process, the Department or Hiring Employer that requested it receives your results, scores, and related assessment information, and may receive proctoring images and accommodation information as described in Sections 7 and 8. Departments can see information only about candidates int heir own recruitment processes. They use it for recruitment and selection and handle it under their own privacy policies. Departments may also receive summary statistics about how candidates performed.
  • Service providers: organizations that perform services on our behalf (see Section 10). They may use personal information only to provide services to us, and we require them to protect it.
  • Legal and regulatory authorities: where required or authorized by law, such as in response to a court order or legal process, or where we believe in good faith that disclosure is necessary to comply with the law or protect our legal rights.
  • Business transactions: if our business is sold, merged, or reorganized, as permitted by law and subject to appropriate protections.

14. Emails From the Platform

15. Newsletters and Marketing Emails

  • Our newsletters are sent through Mailchimp, which stores subscriber information in the United States.
  • Every newsletter identifies Prepared for Duty, includes our mailing address and contact information, and includes an unsubscribe link. We process unsubscribe requests within 10 business days, as CASL requires.
  • Mailchimp records whether our emails are opened and which links are clicked. We use this information to understand engagement and improve our communications.

16. Cookies and Similar Technologies

  • Necessary cookies keep you logged in to the testing environment, support security (Cloudflare), and remember your cookie choices.
  • Functional cookies remember optional preferences, such as your username if you choose “Remember username”, or that you have closed our newsletter pop-up.
  • Analytics cookies (Google Analytics) are used on our information website only, not within the testing environment. We also use Jetpack Stats to view aggregate traffic statistics.
  • Spam protection: our contact and inquiry forms use hCaptcha, and our sign-up form uses ALTCHA, which runs on our own server and does not use cookies.

17. Payments

Practice tests. Practice test purchases are completed through PayPal’s secure checkout. PayPal processes your payment under its own privacy policy and security practices and tells us whether the payment was successful, along with the transaction details listed in Section 5.

Bulk purchases. Bulk test purchases by Departments are invoiced through QuickBooks (Intuit), which stores the limited payment details needed for invoicing and record keeping.

Questions or disputes about a payment should be directed to PayPal or the relevant financial institution. We will cooperate with them, as applicable, to help resolve any issues.

18. Your Rights

  • Access the personal information we hold about you, and learn how it has been used and to whom it has been disclosed.
  • Correct personal information that is inaccurate or incomplete.
  • Withdraw your consent, subject to legal or contractual restrictions.
  • Request deletion of your personal information, subject to our legal and contractual obligations to keep certain information.
  • Unsubscribe from our newsletters at any time.

How to make a request. In the testing environment, you can request a copy of your data or request deletion of your account from your profile page. You can also contact our Privacy Officer (see Section 2). Our Privacy Officer reviews every deletion request before it is carried out. We may need to verify your identity before responding. We will respond with 45 days, or tell you if we need to extend that time as permitted by law. We may charge a reasonable fee for providing access where the law permits; if so, we will give you an estimate before we proceed.

Limitations. In some cases, the law allows or requires us to refuse a request. We may decline a request where, for example:

  • the information is connected to legal proceedings or an investigation;
  • providing access would reveal personal information about another person or confidential test content;
  • deleting the information would compromise the integrity of a recruitment process that is still underway; or
  • the request is clearly unfounded, repetitive, or would involve disproportionate cost or effort.

If we refuse a request, we will give you our reasons in writing, and you may ask the Office of the Information and Privacy Commissioner of Alberta to review our decision.

Information held by Departments. Where a Department or Hiring Employer holds your results under its own privacy policy, please contact that organization directly. We will help direct your request where we can.

Where feasible, we will also notify you by email.
